Reporting directly to the Executive Director, the Finance & Development Director will oversee the Protego Foundation’s budget and manage all financial matters including, but not limited to, handling donations and crowdfunding campaigns gains, filing tax documents, and managing financial records. They will also be responsible for donor relationship development and oversee database management for donor records

Reporting directly to the Executive Director, the Executive Assistant will help with the day-to-day administrative duties in running The Protego Foundation. Our ideal candidate is self-motivated, easy to work with, highly organized, adept at scheduling, and someone who prioritizes tasks well.
This position will require an average of 3-5 volunteer hours per week, plus occasional (usually quarterly) full team meetings. There will also be opportunities to participate in monthly leadership meetings.

- Maintaining the Executive Director’s appointment schedule by planning and scheduling meetings, events, interviews etc., in conjunction with the general org calendar on Google.
- Reading, drafting, and occasionally sending general emails, letters, and other correspondence.
- Assisting with tasks related to fundraisers, donors, programs, educational merch and materials, and community initiatives, including preparing reports, drafting documents, copyediting, and retrieving data.
- Helping maintain and organize the document database in a confidential manner.
- Keeping track of inventory and locations of inventory that have been sent out to events / for programs, and ordering new inventory as needed.
- Working in conjunction with the Executive Director, the marketing team, and our partner Pitch & Prose to run our merch sales and giveaways.
- Performing other tasks as assigned by the Executive Director.

- Proficiency in using document creation software, such as Microsoft Office, required

Community & Programs Coordinator
Reporting directly to the Community & Programs Director, the Community & Programs Coordinator will manage engagement across all community programs and be the go-to person for specific questions from community members. They will stay up to date with new strategies for boosting engagement on Discord, in programs, and within the team of staff members.

- Assisting in engaging community support and participation in programs such as ProtegoCast, Book Club, and events
- Researching, implementing, and testing new strategies for boosting engagement on Discord and other relevant platforms
- Providing ideas for fellow staff members to engage with the team, including sharing new Protego announcements with the community
- Coordinating with department Director on community surveys that help to ensure the community members are continually receiving valuable and relevant content

- Ability to have a reasonably prompt response time for message and comment engagement (within 1-2 days)

Reporting directly to the Campaigns Director, the Campaigns Coordinator works to enhance the success of Protego Foundation’s campaigns. The Campaigns Coordinator will help lay the groundwork for new campaigns as well as helping to maintain ongoing campaigns.

Video Editor
Reporting directly to the Marketing Director, the Video Editor will contribute to the digital branding and face of The Protego Foundation’s outreach efforts by editing and potentially filming video content. The ideal candidate should be able to clearly and quickly get a message across to wizarding world fans through eye-catching and engaging videos.

- Working with the Marketing Director to follow the visual branding style created for the foundation and to expand upon that style
- Filming videos and performing other tasks as assigned by the Marketing Director if needed

BOARD TREASURER / FINANCIAL ADVISOR
The Wizarding World-inspired animal rights group, The Protego Foundation, is looking for a board member to serve on the board of directors. The successful applicant will have experience in managing financial aspects of a non-profit organization or will have served on the board previously of a non-profit organization. The Treasurer shall make a report at each Board meeting, shall assist in the preparation of the budget, help develop fundraising plans, and make financial information available to Board members and the public.

- Keeping copies of the foundation’s bylaws, Board policy statements, and other relevant paperwork
- Keeping lists of officers, Board Members, Staff, and General Membership
- Notifying Board Members of meetings and keeps control of the official calendar
- Keeping minutes and attendance records for meetings, and archives that information
- Sending copies of minutes to Board Members after meetings
- Making sure that all members can participate in designated quarterly meetings
- Recording all motions and decisions of meetings
- Signing minutes to attest to accuracy and records all corrections
- Conducting and keeping records of all Board correspondence
- Signing official documents of the organization as required
- Filing (or directing to be filed) annual returns, amendments to the bylaws, and other incorporation documents to the appropriate agencies
- Chairing Board meetings if both Chairperson and Vice-Chairperson are absent
- Receiving and reading all foundation correspondence and brings it to the attention of the appropriate staff or Board member
- Issuing receipts for and keeping track of expenditures as necessary in conjunction with the Treasurer
- Orienting the future replacement Secretary
- Abiding by the bylaws and code of conduct
- Completing the duties required by all members of the Board as outlined in the Board Member Job Description
